(HAFP) How to create and manage Sessions
Updated over a week ago

A Session refers to the period during the Project when that activity is delivered. For example, for a Football Coaching Project, a Session would be one coaching session and for an Arts and Crafts Project, a Session would be one knitting class.

Sessions are repeated weekly throughout the length of a block. So, if you have one session on Monday, and the block lasts for a month, then that session would occur on every Monday of that month.

Sessions can be created, edited and viewed in the Sessions tab of a project.

How do I add a session to a block?

1) When you are logged into the Coordinate Sport application, navigate to the relevant project by clicking on 'Bookings > Projects > All'.

Once you have clicked into the Project, click on the Sessions tab.

2) In the 'Sessions' tab click on the green button titled '+Create New'.

3) In the section named Day & Time:

  • In the dropdown list titled β€˜Day *’ select the day in which the session takes place.

  • In the dropdown list titled β€˜Start Time*/End Time*’ select the times at which the session starts and ends.

Please feel free to add any relevant information into the other fields too, such as the Price, Activity, Session Type or Customers. Adding extra details such as these allows you to take advantage of the Application functionality more fully.

Fill in all the required fields.

4) When you are happy with the information entered, click on 'Save' to save the session.

5) Repeat this process for each of the Sessions you would like to set up.

Example:

An organisation is delivering dance lessons for a school (Green Road School). These are delivered in different terms during the 2021/22 school year.

The lessons are delivered:

  • On a Monday and a Friday from 10am to 12am for Term 1 (September 2021 - December 2021).

  • On a Tuesday and a Wednesday from 3pm to 5pm for Term 2 (January 2022 - June 2022).

The two terms are split into Blocks since they take place over two separate periods.

The Blocks are named:

  • Term 1 (Date set from September 2021 to December 2021)

  • Term 2 (Date set from January 2022 to June 2022)

In the 'Term 1' Block, the sessions will repeat weekly and are as follows:

  • Monday from 10am to 12am

  • Friday from 10am to 12am

In the 'Term 2' Block, the sessions will repeat weekly and are as follows:

  • Tuesday from 3pm to 5pm

  • Wednesday from 3pm to 5pm
