How to view the Booking Payments & Transactions Report

The Bookings Payments & Transactions Report shows you all the transactions that Customers have made and the Transactions that they relate to. You can find the Report by navigating to 'Reports > Booking Payments & Transactions'

There are two tabs: 'Customer Billing' and 'Booking Payments'.

Customer Billing

Here you can see a list of data related to the Transactions that Account Holders have made. Each row refers to an entire Booking. This means that if multiple Sessions were booked at once, they will show up in one row. Here is an explanation of each Column in the Report:

'Transaction Date' shows you when the Transaction was made.

'Transaction Amount' shows you how much money the Booking cost.

'Applicable Amount' shows you how much of the Transaction Amount was paid in that instance. (For example, a Customer could pay for half when booking the session, then the rest in person or online at a later date).

'Customer' shows you who made the transaction.

'Participant Name' shows you who was booked onto the Session.

'Project Name' shows you the name of the Project.

'Project Code' shows you the Project Code of the Session that was booked. A Project Code is a way to internally categorise Sessions. You can create a Project Code by navigating to 'Settings > Other > Project Codes'.

'Block' shows you which Blocks that the Sessions that have been booked onto are in.

'Session Types' shows you the type of session.

'Departments' shows you which Department the Session is associated with.

'Session Count' shows you how many Sessions were booked onto during the Transaction.

'Add-ons' shows the add-ons applied within the projects.

'Payment Type' shows you how the Transaction was made. If the Transaction was made through the Front End by the Customer, this will show as 'External'. If it was made through the Back End, the Transaction will show as 'Internal'.

'Payment Method' shows you how the booking was made (i.e Online).

'Transaction Reference' shows you the Transaction Reference. If you click on this, a new tab will open that shows you a breakdown of the Booking.

'Note' shows you any notes that were added to the Booking when it was processed.

This information in the Report can be exported by clicking the blue 'Export' button at the top right-hand corner of the page.


Booking Payments

Here you can see information related to the Bookings themselves. This can give you a more detailed idea of what has been paid for each aspect of the Booking. Here is an explanation of each Column:

'Booking Date' shows you when the Transaction was made.

'Booking Amount' shows you how much the Booking cost.

'Customer' shows you who made the transaction.

'Discount' shows the amount discounted from the booking.

'Discount Type' shows the type of discount applied.

'Participant Names' shows you who was booked onto the Session.

'Project Names' shows you the name of the Project.

'Project Codes' shows you the Project Code of the Session that was booked. A Project Code is a way to internally categorise Sessions. You can create a Project Code by navigating to 'Settings > Other > Project Codes'.

'Blocks' shows you the Block to which the booked Session belongs.

'Session Types' shows you the Session Type of the Sessions that have been Booked.

'Departments' shows you which Department the Session is associated with.

'Session Count' shows you how many Sessions were Booked.

'Childcare Voucher' shows you whether or not the Booking was made using a Childcare voucher.
