What is a Contract?

A Contract Booking is a Booking that is directly scheduled with a School or Organisation. A Contract Booking doesn’t have any Registers, because the School or Organisation takes care of this themselves using their own process.

What is a Project?

A Project is a Booking which can be categorised as either an Event or Course:

  • An Event is a one-off project. The maximum length of a block in an event is one week.

  • A Course is a project that repeats itself or that occurs over several weeks or months. The maximum length of a Block is the length of the Course it is in.

What is a Block?

The Block is the period of time within the Project when Sessions will be delivered.
The Block is usually created with the week commencing and the week ending, but they can have different lengths depending on the type and the length of the project.
When you create a new Block, the details page is where you will put all the key information (name of the block, start date, end date, record etc) before setting up the Sessions.

What is a Session?

A Session refers to the day and time when an activity is delivered.
When you create a new Session you will need to input all the key information such as the day, time, session type and activity.

What is the ‘Booking Requirement’ drop-down list in a Course?

The purpose of this field is to select how sessions can be Booked on the Booking Site.
This field has the following options: ‘All Weeks’, ’All Weeks (Remaining Sessions Only)’ and ‘Select Weeks’.

  • All Weeks
    This will show sessions which recur on the same day each week from the start date to the end date of the Block. The price shown is the sum of the individual price for each session.
    This option will take into consideration all the sessions inside the Block. It will not show the Sessions as available to book if the start date has already elapsed.

  • All Weeks (Remaining Sessions Only)
    This allows customers to book onto a Course after it has already started, selecting the Sessions that have not taken place yet. The price shown will be the sum of the remaining sessions.

  • Select Weeks
    This enables the Customer to pick and choose which sessions they would like to attend. The price is shown individually for each session.

What is the ‘Register Type’ dropdown list in a Course or in an Event?

The purpose of this field is to select the type of register of the project. The register types available are ‘Children’, ‘Adults’, ‘Names Only’, and ‘Numbers Only’.

  • Children
    The ‘Children’ register type is for children and is for Commercial projects. This Register is linked to the ‘Customers’ section in the application.

  • Adults
    The ‘Individuals’ register type is for Commercial Projects that only adults will be attending. This Register is linked to the ‘Customers’ area in the application.

  • Names Only
    The ‘Names Only’ register is not linked to any section in the Application and is usually used for funded projects. In this register you can only enter manually the names of the customers.

  • Numbers Only
    The ‘Numbers Only’ register is a simple form where you can enter the number of customers that attended each session in the block.
