Customer History, and Unique Pupil Numbers

This article will highlight the different aspects of the Customers area of the app.


How to view Customer History

In 'Customers > Customer Account' there is a tab named 'History'. Any actions performed on a customer account by either a staff user on the backend or a customer on the Booking Site will be recorded here.

You will see the date, time, action, and user type that completed the action.

Backend Users can also search within the History tab by Action, User Type and enter a date range.


Unique Pupil Number (UPN)

The Unique Pupil Number (UPN) is a 13-character code which helps identify specific unique pupils. You will have the option to hide or show UPN fields in the settings area, these settings can be controlled at the parent level, which will be applied to all Sub-Accounts.

This number can be entered when creating a new participant, or when editing an existing participant in their profile. This will also be shown on HAFP Names Only Registers and in the Register Report.

You have the option to hide or show unique pupil number fields. This can be done by navigating to Settings > Display

Under the Customers tab, click on "Participant Profile Fields". Here you will see the option to show the unique pupil number feature, by ticking the box within the "Show" column.

To make the option a requirement for participants, you can click on the box within the "Required" column. Then click on Save.

If you navigate to Settings > General, then Customers, you will have the option to select whether the unique pupil number should be numbers only, or text and numbers.

Once changes are made, be sure to click on "Save".

With this feature enabled, if a customer is adding or editing a participant, they can enter a unique pupil number in the field shown.

You can view the unique pupil number within the application, by navigating to the "Customers" tab located on the left hand side of the app, and clicking on the applicable customer.

Click on the participant, then you will see the unique pupil number displayed.
