Editing and Cancelling Customer's Bookings, Editing a Customer's Booking Cart, Booking a Customer Through the Back End

This article will highlight the different aspects of your Customer's bookings in the app.


Cancelling Sessions on the Booking Site

To cancel sessions on the booking site, navigate to 'Account' on the top right, then click on 'Overview'.

Within this page, there will be a list of bookings below. Select the booking that will be cancelled by clicking on 'View Details'.

Once that is done, a 'Cancel Booking' button will be displayed at the the top right hand side of screen

When clicked, a list of sessions will show. Select the sessions to cancel, then click on 'Cancel Selected Sessions', or, to cancel the entire booking, click on 'Cancel Entire Booking'.

Once you have done this, the sessions will be successfully cancelled.

If session reminder emails are activated, then bookings can also be cancelled with a link provided in the email.


How to Edit the Booking of a Customer

1) When logged into the Coordinate Sport application, in the left-hand side menu, click on Customers.

2) You will see a list of all the Customers. Find the relevant customer from the list and click on the Account Holder's name.

3) Click on the tab named Bookings.

4) You will see a list of all the bookings made by this Account Holder. On the right-hand side, click on the yellow pencil button named 'Editโ€™.

5) Here you can make any changes you need to, such as removing or adding Sessions and Customers.

6) Click on the button titled 'Update Bookingโ€™.

7) When you see the green banner message that reads 'Booking updated successfully', click on the Close Booking button in the top right-hand side of the page.


How to view and edit the online booking cart of a Customer

To edit and view the online booking cart of a customer:

1) In the menu on the left-hand side of the page, click on Customers.

2) On the Customers page, you will see a list of all the existing customers or family members.

On the right-hand side of the page, click on the purple shopping trolley icon named 'View Online Booking Cart' for the relevant customer.

You will then see a list of all the current bookings that are currently in the customer's booking cart

Each booking will have the name of the block with the price shown after the name.

Underneath the name of the block, click on the tab named '+ Booking Breakdown' and you will then see a list of all the sessions selected.

3) To amend a booking, underneath + Booking Breakdown, click on Edit Booking.

4) On the new page, you can select a new Participant under Select Participants or add a new Participant by clicking on Add Participant.

5) Underneath this, for each Block, You can add or remove Sessions by clicking on the grey circle icon.

6) Check the total price underneath the section named Summary.

7) If everything looks okay, scroll down to the bottom of the page and click on the button named Update Booking Cart to save the changes.

8) In the new page underneath the section named Summary, click on the Checkout button in blue to go to the Checkout page.

9) On the left-hand side at the bottom of the new page, click on the blue button Book & Pay (or just Book if there is no price for any of the sessions) to complete the payment.


How to book a Customer through the Back End

To add a participant onto a booking through the back end, first navigate to the project and click on the Add Participant tab.

In this tab, select the customer from the drop down list. If the customer does not have a profile already, you will need to make this for them first. Once you have selected the customer, click continue.

On the next page, you will be able to select participants who are booking on. After this, you can select the sessions the customer would like to book. Once you have done this, you can add them to the Booking Cart.

Confirm the booking by clicking the Check Out button. Double check everything is correct and then click Book and Pay.

This will take you to Payments tab, details can be entered on this page to pay the fee off. If the customer is paying at a later date, such as in cash on the day, you can exit this tab without clicking the Save button. This will leave the customer in a negative account balance until the fee is paid off.

You can confirm the participant is booked on by clicking on the bookings tab and you will be able to see them on relevant register.

You can also book participant onto a session through the details tab of their profile. Next to each participant is a Book field which will open a drop down list including all the available blocks from any project. Type in a block to find it in the list and click on the one you would like to book.

This will take you to the Booking Page. Following the same process as the previous method you can book the participant onto the sessions.
