The Resource section, located in the left hand menu, helps you manage and share key documents, images and downloadable content linked to your sessions, projects and communications
Setting up Resources
To begin using Resources:
Go to Settings > Resources.
Click + Create New to add a new resource category.
Each resource category helps group related files and define how and by whom they can be accessed within the system.
When creating a category, you can specify a minimum permission level. Only users with this level or higher will be able to see the resources in that category. This ensures that sensitive files are only accessible to the appropriate team members.
Category Options
When creating a resource category, you can choose where the files should be made available. The options include:
Show on Dashboard Policies
Displays files under the Policies tab on a staff member’s dashboard.
Staff can download and confirm they have read and accepted each policy by clicking the confirmation button.
Show in Record Attachments Templates
Makes the files available in the Attachments tab of individual user records.
This is useful for uploading documents specific to schools and organisations. These documents then can either be sent with record confirmation or be made accessible to coaches assigned to the session when this record has been set inside the project.
Show in Booking Attachments Templates
Allows the documents to appear in the project’s Attachments tab.
This is ideal for project-wide resources such as welcome packs, consent forms, or guidelines, which can be included in booking confirmations or thank-you emails sent to customers.
Show in Session Attachments Templates
Allows you to attach documents directly to individual sessions within a project.
Use this for session-specific resources like lesson plans, equipment checklists, or risk assessments; ensuring they are accessible to coaches assigned to that session.
Show in Staff Attachments Templates
Enables documents to be added to a staff member’s profile.
This is helpful for storing HR documentation.
Adding a New Resource
To add a new resource:
Navigate to Resources from the left-hand menu.
Click + Create New.
Select the appropriate resource category and upload your file.
After uploading, you’ll have the option to specify whether the resource should be included in Record Booking Confirmation emails when certain departments are selected.
