Staff Members' Privacy Policy, Staffing Types, and Staff Display Fields

This article will highlight the different aspects of the Settings area of the app.


How to set the Privacy Policy for Staff Members

To set the Privacy Policy for Staff Members:

1) Login to the Coordinate Sport application.

2) Click on 'Settings' in the top right corner of the page.

3) Click on 'Terms & Privacy'.

4) Scroll down at the bottom of the page. In the text box 'Staff Privacy Policy' paste the privacy policy.

5) Click on, the blue button, 'Save'.

Reprompt your users to accept an updated Privacy Policy

If your organisation updates the privacy policy for Participant or Staff users, you can ensure that they are re-prompted to accept the updated policy the next time they log in to the Coordinate Sport Application.

1) Click on 'Settings' in the top right corner of the page, then 'Terms & Privacy'

2) If you are updating the Participant Privacy Policy, first add the text into the box and scroll to the bottom of the page. Here you can select which users you would like to Reprompt these include:

  • Customer Users

  • Staff Users

  • Sub Account Customer Users

  • Sub Account Staff Users

3) If you are updating the Staff Privacy Policy, first add the text into the box and then tick the box marked 'Reprompt Terms & Privacy Policy', then click 'Save' at the bottom of the page.


How to edit Staffing Types

To change Staffing Types:

1) In the top right corner of the page, click on 'Settings' and then on 'Staff Types'.

A page will appear displaying the following default staffing types:

  • Head Coach

  • Lead Coach

  • Assistant Coach

  • Participant

  • Observer

2) Select which type you want to change and click on the 'Edit' button on the right side.

3) Inside the field 'Name' enter the new name of the staffing type.

4) You can also write a description of the Staffing Type, as well as specify whether or not this staffing type should be included in Timesheets and Staffing Requirements.

5) Click on 'Save'.


How to set the fields to display in the staff users profile

Navigate to 'Settings' > 'Display' > 'Staff Personal Fields'.

In this area, using the tick boxes, you will be able to select the fields that are visible on the staff profiles, as well as choose whether the fields are mandatory for Staff to fill in.
