Ordering Projects on the Booking Site, SMS & Email Settings, Change the Logo, Session Reminders, and MailChimp Integration

This article will highlight the different aspects of the Settings area of the app.


How to order your Projects on the Booking Site

In 'Settings > General > Online Booking Site > Ordering' you will be able to select the ordering criteria of projects.

You will be able to set the criteria using this drop-down field called "Ordering Default" with the following options:

  • Alphabetical (A-Z) - this will sort projects in alphabetical order. This will pull from 'Project Name'.

  • Alphabetical (Z-A) - this will sort projects in reverse alphabetical order. This will pull from 'Project Name'

  • Starting Soon - this will sort projects in descending order of Project Start Date, for example, the project start date that is closest to the current day that is in the future will be shown at the top of the list.

  • Ending Soon - this will sort projects in descending order based on which project is ending soonest, for example, the project end date that is closest to the current day. This will pull from 'Project End Date'

  • Newly Added - this will sort projects in descending order of Project Creation Date. This will pull from the Unique Project ID.

  • Oldest - this will sort projects in ascending order of project start date, i.e. the project with the start date furthest in the past will be shown first. This will pull from the Project Start Date.

  • None - no sorting will be applied, and the projects will appear as they do currently on the Event Search page.

The order that Bookings will appear on the booking site can also now be reordered on this page using the 'Drag & Drop' icon. For example, if you would like to move a specific booking to the top of the Event Search page, you will be able to click and drag the booking to the relevant ordering.


How to edit the default Email & SMS Settings

Check General Email & SMS Settings

This area will allow you to edit the settings for all of the Email & SMS notifications generated from Coordinate Sport.

To check the general Email & SMS settings:

1) Login to the Coordinate Sport Application.

2) Navigate to 'Settings > Email & SMS > General' You will be taken to the 'General tab.

Here you will be all of the Email & SMS notifications generated from Coordinate such as:

  • Send Emails From Name - The name that email recipients will see in their inbox.

  • Reply Email Address - The email address that will be used to send emails out to customers.

  • Send SMS from Name - The name that SMS recipients will see in their phone inbox

  • Email Footer - The footer text will be at the bottom of every email sent from the Reply Email Address.


How to change the Logo of the App and Booking Site

It is possible to change the logo that appears in the app and on your booking site.

This can be done by navigating to 'Settings > Styling'.

Within this page will be a section called 'Logo', and a field named 'Replace Logo'. Clicking on 'Browse' will let you select your image to use as the Logo.

Once you have attached an image, click on 'Save' to apply the logo.


How to set up Session Reminders

It's possible to set up session reminders that are sent out to customers before a session begins.

To set up Session Reminders, navigate to 'Settings > Email & SMS'.

Then click on the 'Customer' tab.

To enable the 'Upcoming Session Reminder', click on the checkbox under the 'Active' column.

To set up the 'Upcoming Session Reminder', click on the yellow 'Edit' icon.

On this page, you will be able to edit the Subject and Email Content

The 'Grouped' field is what is sent out when the customer has multiple sessions in one day.

In the 'First Email Timeframe' field, you determine how many hours before the start of the session the reminder will be sent out.

You are able to also set up a second reminder email, that can be sent after the first one, by ticking the 'Second Email' checkbox.

If applicable, you can do a similar set up for SMS notifications by ticking the 'SMS Session Reminders' checkbox.

Click on 'Save' to apply your changes.


Setup MailChimp Integration

The integration between Mailchimp and Coordinate Sport will add any Customers that have registered and granted marketing consent to the applicable 'Audience ID' that you have entered into the 'Settings' > 'Integrations' page.

This is a two-way integration, meaning that if somebody does not give marketing consent in the Coordinate Sport application, then this will update your Mailchimp account. Likewise, if the consent changes in your Mailchimp account, this will be reflected in the Coordinate Sport application.

To set up the Mailchimp integration, you first need to log into the Coordinate Sport Web App and navigate to 'Settings' > 'Integrations'.

1) Open a new tab in your browser and log in to Mailchimp.

2) Click Account Name Account.

3) Click 'Extras > API > Keys'.

4) Copy an existing API key or click the Create A Key button.

5) Name your key descriptively, so you know what application uses that key.

6) Go back to the Coordinate Web App page, navigate to the 'Keys' section, and Input the key in the field named 'MailChimp API Key'.
